- Submit the Event Grant Application at least 10 business days before the event
- Start 4-5 weeks out: confirm topic and speaker, set the date, and pick your target audience. Fellows must have topics approved by their Campus Advisor
- Hold a content call 2-3 weeks out with the speaker, the Fellow or Coalition president, and the Campus Advisor to lock the format, tech, and how Q&A will run
- Book the room early and check your university's booking requirements; the event must be on campus and accessible to everyone
- Event title, date, synopsis, goals, and target audience
- Total event cost, amount requested, and a breakdown of what the money is for
- Whether you are receiving funding from any other source, on or off campus
- On-campus co-sponsors, reserved space, and whether food will be served
- Flyer and promotion must start no later than two weeks out, and every CAMERA-sponsored event must carry the CAMERA logo. Ask your Campus Advisor if you need help with the flyer
- State whether CAMERA should pay a vendor directly or reimburse you afterward
After the event — what you owe them
- Submit the Post Event Report Form within 72 hours — reimbursement depends on it
- Include all receipts, event photos or video, and a short description of what happened
- Report attendance, exposure, and any co-sponsors
- Choose your reimbursement method and provide the payment details on the form
- On the day, designate two photographers for candid shots and a group photo, and run a sign-in sheet collecting names, emails, and phone numbers
- Afterwards: debrief with your Campus Advisor, thank the speaker, email attendees about getting involved, and send the attendee list to your Campus Advisor
Who may qualify
- Established groups and groups still in formation may join the Coalition
- No 501(c)(3), EIN, or independent bank account is required
- Coalition membership and a CAMERA campus representative are required before using the per-event grant form
